How to Conduct an Annual Family Member Review

Family-owned businesses take the idea of a balancing act to the next level.

Navigating complex family dynamics in business and personal relationships is a delicate task, especially when providing professional performance feedback. Yet an annual performance review is critical for gaining valuable insights and improving performance year-over-year.

Learning how to conduct an Annual Family Member Review in a healthy, productive manner is essential.

An Act of Kindness

There’s an old saying that goes: “If you fail to correct someone, you’re thinking of yourself.”

Failing to offer constructive, meaningful feedback in a business or a family setting could cause unintended harm. It’s easy to prioritize the comfort of both participants by avoiding potential conflict over the need to share corrections or feedback.

However, when performance reviews are performed on the foundation of open communication, mutual respect, and love, constructive feedback becomes an act of kindness.

Structured performance reviews can foster growth, accountability, and stronger working relationships for family businesses.

Below is The Family Business Coach’s guide to your Annual Family Member Review. This approach prioritizes sharing performance-enhancing feedback in a way that strengthens both the business and the family bond.

Performance Review Matter

Success cannot happen in a vacuum.
Like athletes in a competitive sport, every team member must perform to their potential.

A performance review is a tool to evaluate strengths, address areas for improvement, and set clear goals for the future. For family businesses, these opportunities for feedback also ensure that personal relationships do not hinder professional growth.

Coach Your Team

Approaching these reviews with a coaching mindset can make all the difference.

Think of yourself as a coach who cares deeply about the team. Your role is to provide unfiltered yet compassionate feedback that enhances performance and boosts confidence and motivation.

Prepare For Success

A successful performance review starts with preparation.

Dedicate time to reflect on your feedback and gather your thoughts. Each participant, whether a parent, sibling, or cousin, should complete a self-evaluation and prepare their own feedback.

A dual approach promotes self-awareness and opens the door for meaningful conversations.

Here’s how the process works:

  1. Self-Evaluation: Each participant prepares his or her own self-evaluation using the evaluation questionnaire (see below).

  2. Family Evaluation: Each participant prepares to give their family members who work in the business performance-enhancing feedback using the questionnaire.

  3. One-on-One Reviews: Reviews should go as follows–

    1. Review each participant one at a time, beginning to end

    2. Begin with the participant’s self-evaluation

    3. Next, the reviewer shares their assessment (answers) of the participant

    4. Together, discuss each other’s assessment

    5. Take a collaborative approach to setting the participant’s upcoming annual goals

    6. Repeat the process with each participant until all participants have had a one-on-one

  4. End With the Positive: Conclude the session by sharing positive feedback. Acknowledge and praise each other’s commitment to growth and performance improvement.

Performance Review Questionnaire

The heart of a productive review lies in thoughtful and targeted questions.

Below are the questions to guide your Annual Family Review. You may tailor specifics to meet the needs of your family or business.

  1. What would you say are the greatest personal accomplishments and/or business results this player contributed to the team in the past 12 months?

  2. How well are those talents being utilized to their fullest?

  3. What would you say are the areas that need improvement or fell short of your expectations for this player in the past 12 months?

  4. What do you think are the main contributors to the shortfall in results?

  5. What are the 1-3 things you’d like to see this player focus on in terms of their own personal development or personal improvement in the next 12 months?

  6. What are the 1-3 business results you’d like to see this player focus on over the next 12 months?

  7. What does this player need in terms of support from the team i.e. support, training resources, etc.?

  8. Is there anything else to communicate about this player at this time?
